This role requires excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment.
The Receptionist and Dispatch Coordinator will play a critical role in ensuring the smooth and efficient operation of our dispatching process and providing exceptional customer service.
Key
Responsibilities:
Serve as the first point of contact for visitors and callers, providing a professional and welcoming experience.
Dispatch drivers to deliveries and pickups in a timely and efficient manner, taking into account route optimization and customer priorities.
Monitor the status of drivers and communicate with them to provide updates on assignments, route changes, and any other relevant information.
Handle last-minute route changes and update drivers accordingly, ensuring that all changes are accurately documented and communicated.
Review paperwork returned by drivers, including delivery confirmations, invoices, and receipts, to ensure accuracy and completeness.
Organize orders and pickups for dispatching, prioritizing based on customer requirements and delivery schedules.
Inform the sales team of any backorders or delays in delivery to manage customer expectations and address any concerns proactively.
Review old orders and update records as needed to maintain accurate and up-to-date information in the system.
Answer phones and respond to inquiries from customers, drivers, and others, providing assistance and resolving issues as needed.
Qualifications:
High school diploma or equivalent; additional education or training in dispatching or logistics is a plus.
Bilingual in Spanish Previous experience in a receptionist or administrative role, preferably in a logistics or transportation environment.
Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively.
Excellent communication skills, both verbal and written, with the ability to interact professionally with individuals at all levels.
Proficiency in computer applications, including Microsoft Office suite, experience with GPS tracking systems is a plus.
Ability to remain calm and composed under pressure, with a positive attitude and customer-focused mindset.
